This Privacy Policy explains how SDGDC HL, the High Schooler's League of the SDG Design Challenge, handles personal information collected for registrations, participation, communications, submissions, judging, certificates, and event administration. SDGDC HL is powered by NextGenNav and may be conducted through relevant NGN entities, including NGN India, NGN UK, NGN USA, and NGN International.

1. Who This Policy Applies To

This policy applies to students, team members, team leaders, parents or guardians, teachers, mentors, judges, volunteers, partner organisations, and anyone else who interacts with SDGDC HL through our website, registration form, contact channels, emails, submissions, or event activities.

The active IGCSE & O Level Edition is conducted by NGN India. Future editions may be conducted by other NGN entities, including NGN UK, NGN USA, and NGN International.

We may collect information that you provide directly when registering for SDGDC HL, contacting us, submitting a project, or participating in event-related activities.

  • Student name, email address, school name, curriculum, country, city, grade or year level;
  • Team details, including team name, team size, team member names, and team member email addresses;
  • Parent, guardian, or teacher contact details where required for consent, verification, communication, or supervision;
  • Registration responses, eligibility details, event preferences, and participation status;
  • Project submissions, presentation materials, written responses, prototypes, links, media, and supporting files submitted by teams;
  • Communication records when you email us, submit a form, or contact us about the event;
  • Basic technical information such as form submission time, device/browser information, or website usage data where collected by our service providers.

3. How We Use Your Information

We use the information collected for purposes connected to running and improving SDGDC HL, including:

  • Processing registrations and confirming team participation;
  • Checking eligibility for the relevant edition;
  • Communicating event instructions, training session details, reminders, updates, and results;
  • Managing team coordination, submissions, judging, evaluation, and progression to later rounds;
  • Issuing certificates, recognition, rankings, and participation records;
  • Responding to questions, partnership enquiries, support requests, or privacy-related requests;

We do not sell participant personal information.

4. Students, Minors, and Consent

SDGDC HL is designed for high school students, so some participants may be under the age of 18. Where required, we may ask for parent, guardian, school, or teacher involvement before confirming participation or processing certain information.

Participants should not submit sensitive personal information unless it is specifically requested for a legitimate event-related purpose. We do not knowingly use student information for targeted advertising, behavioural profiling, or unrelated commercial marketing.

5. How We Share Information

We may share limited information only where needed to operate SDGDC HL properly.

  • Relevant NGN entities responsible for the edition, Round 2, or the International Final;
  • Judges, mentors, reviewers, trainers, or organising team members involved in evaluation or event delivery;
  • Supporting organisations or partners, only where necessary for event coordination, recognition, or approved collaboration activities;
  • Service providers used for registration forms, spreadsheets, email notifications, website hosting, file storage, communication, or analytics;
  • Authorities or legal bodies if required by applicable law, regulation, or valid legal process.

We aim to share only the information necessary for the relevant purpose.

6. Third-Party Services

SDGDC HL may use third-party tools to operate the event, including tools for registration forms, email notifications, spreadsheets, file storage, website hosting, communication, and analytics. These services may process information according to their own privacy policies and security practices.

Examples may include form providers, Google Workspace tools, email services, hosting providers, and other operational tools used to manage registrations, communications, submissions, and records.

7. Photos, Videos, Submissions, and Public Recognition

During SDGDC HL, teams may submit project materials, presentations, prototypes, images, videos, documents, or links as part of their participation. These materials may be reviewed by organisers, judges, mentors, and relevant event personnel.

If teams win, advance, receive recognition, or are featured publicly, we may publish limited information such as team name, school name, participant names, project title, project summary, photographs, videos, or submitted materials, where appropriate and permitted.

If you have concerns about public recognition or media use, contact us before submitting final event materials.

8. Data Storage and Security

We take reasonable steps to protect the information we collect from unauthorised access, misuse, loss, disclosure, alteration, or destruction. Access to event data is limited to people who need it for legitimate SDGDC HL purposes.

However, no online system, email service, form tool, or storage platform can be guaranteed to be completely secure. Participants should avoid submitting unnecessary sensitive information.

9. Data Retention

We keep personal information only for as long as reasonably necessary for event administration, participation records, certificates, judging records, communication, dispute handling, legal compliance, and future SDGDC planning.

Some records, such as certificates, winner details, ranking history, and official recognition records, may be retained for verification and archival purposes. Where information is no longer needed, we may delete, anonymise, or securely store it with restricted access.

10. International Processing

SDGDC HL may involve participants, organisers, judges, mentors, partners, and NGN entities from different countries. Your information may therefore be processed or accessed in countries outside your own, depending on the edition, event stage, service provider, or operational requirement.

Where this happens, we aim to handle information responsibly and only for SDGDC HL-related purposes.

11. Your Choices and Rights

Depending on applicable law, you may request access to your personal information, correction of inaccurate information, deletion of certain information, withdrawal of consent, or clarification about how your information is being used.
